Creating and Managing Prompts

Prompts are the questions you send to AI models to gather intelligence. They are the core of the Bourd analysis engine, allowing you to systematically query models like ChatGPT, Claude, and Gemini to understand how your brand and competitors are perceived.

This guide covers how to create, manage, and write effective prompts.

All prompt management is handled on the Prompts page.

  1. Log in to your Bourd account.
  2. Navigate to the Prompts section in the main navigation.

The Prompts page displays a list of all prompts in your workspace, along with their status and management controls.

Before creating a prompt, you must have your Primary Brand and at least one Competitor configured.

  1. From the Prompts page, click the Create Prompt button.
  2. A modal will appear. In the text area, enter the question you want to ask the AI models.
  3. Click Save Prompt.

The new prompt will now appear in your prompts list with an Active status by default.

The quality of your intelligence depends on the quality of your prompts. Your goal is to simulate the questions your potential customers are asking.

Here are four effective types of prompts to start with:

  1. Comparative Prompts: Directly pit your brand against competitors.

    • Example: “Compare Stripe and Adyen for enterprise payment processing.”
    • Example: “What are the differences between Asana, Trello, and Monday.com?”
  2. “Best of” Prompts: Understand your ranking within a category.

    • Example: “What is the best CRM for a small business?”
    • Example: “List the top 5 project management tools.”
  3. Problem-Based Prompts: Discover which solutions are recommended for specific user needs.

    • Example: “How can I automate my marketing emails?”
    • Example: “What software can I use to track my team’s tasks?”
  4. Direct Brand Prompts: Analyze the perception of a single brand.

    • Example: “What are the pros and cons of using HubSpot?”
    • Example: “Summarize reviews for the Oura Ring.”

Best Practice: Start with 5-10 high-value prompts that cover these categories. Avoid overly broad or ambiguous questions.

You can manage your prompts directly from the list on the Prompts page.

You can edit the text of a prompt at any time.

  1. Locate the prompt you wish to change.
  2. Click the Edit (pencil) icon.
  3. Modify the text in the modal and click Save.

Note: Editing a prompt does not change historical data from previous runs. The new text will be used in all future analyses.

You can pause a prompt to temporarily exclude it from scheduled analyses without deleting it.

  • To Pause: Click the Pause (pause) icon on an Active prompt. Its status will change to Paused.
  • To Activate: Click the Activate (play) icon on a Paused prompt. Its status will change to Active.

Paused prompts are not included in automated runs but their historical data remains accessible.

  1. Locate the prompt you wish to remove.
  2. Click the Delete (trash) icon.
  3. Confirm the deletion in the prompt.

Important: Deleting a prompt is a permanent action. While historical completion data associated with the prompt will be preserved, the prompt itself will be removed and cannot be restored.

Prompt management is restricted to specific user roles.

  • Required Role: Admin or Owner.
  • Users with the Member role can view prompts but cannot create, edit, pause, or delete them.
  • Cannot Create/Edit Prompt: If the buttons are disabled or you receive an error, verify that your user account has Admin or Owner permissions.
  • Poor Quality Responses: If the AI models provide irrelevant or low-quality answers, refine your prompt to be more specific. Test different phrasing to see what yields the best results.

Once you have created a set of prompts, you are ready to gather intelligence.
